Job Description
Swahili Coast Farms is a start-up mariculture company farming gourmet Pacific oysters. The farm is located in Gazi, a 30-minute drive from beautiful Diani Beach and about 1km south of Chale Island. We are a social enterprise that works with the Gazi community to build a profitable, sustainable aquaculture venture. We are equally about profit as we are about social and environmental impact. Our main revenue stream is oyster sales, but we also organize farm tours which bring in tourists and oyster enthusiasts. We are scaling fast, and this means we need to get organized.

About the Role
- As our Admin Assistant, you will be the organizational backbone of the business. You will keep our operations running smoothly, support the rest of the team, and ensure our records, communications, and processes are always in order. This role is for someone who is highly organized, proactive, and can thrive in a startup environment.
Key Responsibilities
- Manage day-to-day administrative operations of the farm office.
- Maintain organized filing systems for farm records, contracts, permits, and correspondence.
- Maintain office stock, equipment, assets, and consumables.
- Monitor attendance and work of casual employees and other contract staff.
- Liaise between farm staff, management, suppliers, and clients.
- Support basic bookkeeping, petty cash management, and expense tracking.
- Ensure farm licenses, permits, and certifications are up to date.
- Manage farm tour bookings, welcome guests, and ensure their comfortability.
Ideal Candidate
- Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
- At least 2 years of experience in an administrative role.
- Proficient in Microsoft Office and Google Workspace.
- Honest, reliable, and discreet when handling confidential information.
- Excellent communication, networking, and interpersonal skills.
- Highly organised, detail-oriented, good at prioritization, and attentive to details.
