Job Description

Key Responsibilities
  • HR Operations & Employee Lifecycle Management
  • Coordinate end-to-end employee lifecycle activities: recruitment, onboarding, confirmation, transfers, disciplinary processes, exits, and final due.
  • Ensure all staff have current job descriptions aligned to actual duties.
  • Track probation periods and prompt HODs on confirmations, extensions, or terminations.
  • Support exit management including clearance coordination and exit interviews.
  • Recruitment & Onboarding Support
  • Coordinate recruitment logistics as approved by Management, including job advertisements, shortlisting support, interview scheduling, and reference checks.
  • Prepare employment contracts and HR documentation for review and approval.
  • Coordinate structured onboarding using the 30/60/90-day framework.
  • Ensure induction programs are practical, site-specific, and completed within timelines.
  • Coordinate assignment of onboarding buddies in collaboration with HODs.
  • Payroll & HR Data Support
  • Prepare and validate payroll inputs including attendance, overtime, leave data, allowances, and statutory deductions.
  • Liaise with HODs to ensure timely submission of payroll-related data.
  • Support benefits administration including medical insurance onboarding, updates, and exits.
  • Employee Relations & Discipline Support
  • Act as the first point of contact for routine employee HR queries on policy, contracts, leave, and benefits.
  • Support disciplinary and grievance processes through documentation, hearing coordination, and minute taking.
  • Ensure disciplinary processes comply with labor law, internal procedures, and fairness standards.
  • Escalate complex employee relations matters to the HR Manager with clear facts and documentation.

Profile
  • Bachelor’s Degree in Human Resources or related field.
  • CHRP qualification.
  • Minimum 3 years’ HR operations experience, preferably in a unionized/operational environment.
  • Strong knowledge of Kenyan labour laws and statutory requirements.
