Operations & Finance Administrator
  • MWARP is seeking to hire a competent and highly organized Operations & Finance Administrator to oversee financial management, HR administration, office coordination, and stakeholder relationship management.

Key Responsibilities
  1. Financial Management
  • Maintain accurate financial records using accounting software (QuickBooks, Microsoft Dynamics Business Central, or similar)
  • Process accounts payable and receivable, invoicing, and payments on time
  • Perform monthly bank reconciliations and maintain the general ledger
  • Assist in preparing monthly, quarterly, and annual financial reports
  • Support budgeting and cash flow forecasting
  • Ensure compliance with KRA tax obligations (VAT, PAYE, corporate tax)
  • Process monthly payroll, including statutory deductions (NSSF, NHIF)
2. Human Resource Administration
  • Maintain employee records, onboarding documentation, leave tracking, and attendance
  • Serve as the first point of contact for HR queries with professionalism and discretion
3. Operations & Office Management
  • Manage day-to-day office operations (supplies, correspondence, scheduling, filing)
  • Coordinate travel arrangements, meetings, and visitor management
  • Maintain organized digital and physical filing systems
4. Procurement & Coordination
  • Assist with procurement processes (quotations, purchase orders, delivery tracking)
  • Coordinate relationships with accelerator programmes, technical assistance providers, and collaborators
5. Project & Reporting Support
  • Support grant and project reporting by compiling financial data
  • Liaise with project teams to monitor budgets and flag variances
  • Prepare management reports, presentations, and documentation
6. Other Duties
  • Perform additional duties as assigned by the Finance and Administration Manager or Executive Director

Required Qualifications
  • Bachelor’s degree in Finance (mandatory)
  • Qualification in Business Administration (added advantage)
  • Minimum 3 years’ relevant experience, preferably in the NGO sector
  • Proficiency in accounting software (QuickBooks or similar) and MS Office (especially Excel)
  • Strong knowledge of budgeting, financial reporting, and grant cycles
  • Excellent organizational and attention-to-detail skills
  • High level of integrity and ability to handle confidential information
  • Strong written and verbal communication skills
  • Location: Kwale and Mombasa
